We are currently looking for a Contracts Administrator to join our Oil & Gas group in Quarry Park. The successful candidate will take a particular contract from beginning to end, including all steps of the RFP process thru to ARA, and will compile the contract for execution and through to closeout. He/she will need to work with both Engineering and Construction to get the supporting documentation needed to the RFP package such as SOW, CWP, CEP etc.

Your Duties

  • Work with project teams, Risk Management, and others to ensure Stantec business requirements are translated into subcontractor contracts
  • Work collaboratively with and provide expert contract advice to project teams and work collaboratively to enhance contracts
  • Develop and review Change Notices and compile supporting cost backup
  • Arrange for sign off of Change Notices by necessary parties and provide required Change Orders to contracts
  • Complete invoice attestations
  • Update various logs and reporting functions for the both the Contracting Lead to speak to the Client about as well as project reporting
  • Control the process of pre-qualifying subcontractors and prepare and obtain approval for proponent lists
  • Contribute to project contracting plans including identifying subcontractor options, strategies and execution plans for individual contract packages
  • Participate in the development of clear scopes of work for inclusion in contracts and contract amendments
  • Maintain contract administration file systems, data bases and controls
  • Maintain project specific contract status reports and logs
  • Develop, manage and nourish subcontractor relationships
  • Ensure subcontractor performance evaluations are completed in a timely manner
  • Liaise between project management, client(s), engineering and subcontractors
  • Prepare, organize and host assigned procurement sponsored meetings (ie, kick-off, bid review, progress review)
  • Contribute to continuous improvement of contract administration, policies, procedures and work flows
  • Execute various sourcing tasks, requests for proposals, evaluations, award recommendations, issuance of contracts, change order management, contract close outs

Your Capabilities and Credentials

  • Post-secondary degree, SCMP or a combination of education and experience
  • Minimum 8 years of experience in the administration of multidisciplinary contracts
  • EP/EPCM project experience is an asset
  • Strong knowledge and ability to plan, prioritize, organize, monitor and conduct activities requiring independent decisions/judgement
  • Experience in both the pre-award and post-award phases of the contract cycle
  • Ability to interface with all levels of stakeholders (project managers, clients, contractors, subcontractors)
  • A strong understanding of contract law as it relates to Canadian projects
  • Negotiation skills
  • Proficient in MS Office
  • Strong interpersonal, communication (both written and verbal), and organizational skills
  • Commitment to working in a team environment
  • Strong analytical and innovative problem solving skills
  • Effective time and priority management in a fast-paced and high-pressure environment
  • Strong attention to detail
